Privacy Policy - NoteScribe AI Professional

NoteScribe AI Professional helps users record, transcribe, organize, translate, and protect professional notes. This Privacy Policy explains what information the app uses, how that information is processed, and how users can contact us with privacy or data-use questions.

Who We Are

NoteScribe AI Professional is developed by Digital Services LLC. It is a documentation assistant for professional note-taking workflows. For support, privacy questions, or data-use questions, contact support@notescribeapp.com.

Scope

This Privacy Policy applies to NoteScribe AI Professional V1.0. The app does not require a NoteScribe cloud account in Version 1.0.

AI-generated transcripts, translations, summaries, image answers, and reports may be incomplete or inaccurate. Users should review important output before relying on it.

Information We Collect and Transmit

Depending on the features you choose to use, NoteScribe AI Professional may process:

Audio recordings and spoken input.

Transcripts and note text.

Manual notes.

Photos or images selected or captured by you.

Questions or prompts you enter.

Generated summaries, organized notes, translations, and reports.

Exported PDF or DOCX files that you choose to create.

App settings, such as App Language and selected transcription language.

Data is transmitted off-device only for selected cloud AI features that require backend processing. Local-only data that is processed only on your device is not transmitted for cloud processing.

Files, documents, note text, or generated report content may be transmitted only when a selected cloud AI feature requires backend processing. Local PDF/DOCX export that occurs on-device does not require cloud transmission.

How We Use Information

Some features require backend/cloud AI processing. Depending on the feature you use, NoteScribe AI Professional may securely transmit audio, images, questions, transcript text, note text, or report prompts to backend/cloud AI services for:

Transcription.

Translation.

Language detection.

Note organization.

Summarization.

Image analysis.

Report generation.

Microphone use starts only when you choose a feature that needs audio, such as recording, transcription, voice append, dictation, or Live Interpreter. Camera or photo access is used when you choose Ask Camera or attach images to Secure Notes.

Service Providers and AI Processing

Backend and AI service providers process information to provide app functionality. Data is not sold. Data is not shared for advertising or marketing. User data may be processed by service providers, including backend hosting and AI processing providers, only to provide user-requested app functionality.

Service providers process data according to their applicable terms and our instructions for providing the requested feature.

If our service-provider relationships or data practices materially change, we will update this Privacy Policy and related app-store disclosures as required.

OpenAI API Data Controls

When OpenAI API services are used, data is handled according to OpenAI API data controls. OpenAI states that API data is not used to train or improve models by default unless the customer opts in. Some API requests may be subject to abuse-monitoring or service-retention controls depending on endpoint and configuration.

Data Sale and Advertising

NoteScribe AI Professional does not sell user data.

NoteScribe AI Professional does not share user data for advertising or marketing. NoteScribe AI Professional V1.0 does not use analytics SDKs, crash reporting SDKs, advertising SDKs, or attribution SDKs. If this changes, we will update this Privacy Policy and related app-store disclosures as required.

Data Storage and Retention

Secure Notes, transcripts, note photos, generated reports, and saved note content are stored locally on your device until you delete them, delete the app, or delete the app's local data.

Temporary audio chunks used for transcription and recovery may remain locally until transcription completes, recovery is resolved, or you discard the recording.

Backend/cloud processing is used to complete requested features. Temporary backend upload files are deleted after normal request processing. Managed stale upload files older than one hour are scheduled for cleanup on backend startup and every 15 minutes. Backend hosting and service providers may retain limited request metadata, such as IP address, timestamp, route, and status, according to their applicable terms and operational requirements.

When you export a PDF or DOCX file, the exported file is created for your use and may be stored or shared by you outside the app's Secure Notes protection. Review exported files before sharing them.

User Controls and Deletion

Version 1.0 does not create a NoteScribe cloud account, so account deletion is not applicable unless account functionality is added later.

Users can delete local notes and app data from their device. Users may contact support@notescribeapp.com with privacy or data-use questions.

Users choose when to record audio, request transcription, use Ask Camera or image analysis, generate reports, export files, save notes, or delete local content.

Security

NoteScribe AI Professional uses HTTPS for backend/cloud processing and local device protections for Secure Notes. The app uses local device protection and app security controls, such as biometric or passcode authentication where available, to help protect access to Secure Notes.

You are responsible for protecting your device, device passcode, biometric access, and device backups. No method of storage or transmission is perfect, so users should avoid entering highly sensitive information unless appropriate safeguards and approvals are in place.

Children’s Privacy

NoteScribe AI Professional is intended for professional use and is not directed to children under 13. We do not knowingly collect personal information from children under 13.

Healthcare and HIPAA-Ready Roadmap

NoteScribe AI Professional V1.0 is not HIPAA compliant. Healthcare-ready and HIPAA-ready safeguards are part of the product roadmap, but no HIPAA compliance claim is made at launch.

Do not enter protected health information, patient identifiers, or confidential medical information unless your organization has approved NoteScribe AI Professional for use under an appropriate healthcare-ready configuration.

Changes to This Policy

This Privacy Policy may be updated from time to time. When the policy is updated, the effective date should be updated at the top of this page.
